DEPARTMENT: Finance Department
REPORTS TO: Director of Finance
Summary:
The Accounting Manager position is an integral part of the day to day financial and accounting activities, including the preparation and maintenance of accurate accounting records, assisting with financial reporting, budget, and forecast preparation and analysis. Additionally, in conjunction with the Director of Finance, helping with the development, implementation and monitoring of internal controls and policies/procedures to mitigate risk and drive efficiencies. The ideal candidate is collaborative, detail and service-oriented, and will work to support the needs of the organization.

Essential Functions:

  • Maintain general ledger, including account analysis, subsidiary schedules with proper documentation, and preparation of monthly and year-end journal entries.
  • Manage accounts payable including invoice collection and approval, bill entry, and processing of payments after approval from Director of Finance
  • Monitor daily cash activity
  • Assures timely closure of monthly and year-end accounts.
  • Oversee day-to-day banking, deposit entry and cash management activities. Process and/or review wires/ACHs for banks as necessary.
  • Create and distribute budget vs actual monthly reports for department heads
  • Assist with annual internal audit and 990 preparations.
  • Create ad hoc reports for management
  • Manage corporate credit cards including collection of receipts and reconciliation
  • Manage Finance Dept relationship with rental partner, VenueRVA, including revenue and contract tracking.
  • Assist Director of Finance in monthly financial reporting
  • Train theatre staff on proper coding and recommend GL revisions as needed
  • Serve as backup to HR Manager for payroll processing
  • Identify opportunities to enhance AP and AR processes, automation, and efficiency
  • Collaborate with management on special projects
  • Perform other duties as assigned by the Director of Finance

Qualifications:

  • 3+ years accounting experience, preferably in the non-profit field
  • Proficient or Expert level in understanding and use of QuickBooks Desktop as well as Microsoft Excel; ability to utilize customer relationship management system
  • Thorough knowledge of general accounting including application of general accounting theory
  • Exceptional analytical and problem-solving abilities
  • Excellent customer service and interpersonal communication skills
  • Demonstrated ability to organize, prioritize and meet deadlines
  • Ability to work and act independently

Compensation and Benefits

REPORTS TO: Managing Director
Position Summary:

The Director of Development (DOD) is responsible for planning, implementing, overseeing, and assessing Virginia Repertory Theatre's (Virginia Rep) fundraising plans in support of the organization's strategic vision and growth. Reporting to the Managing Director and a member of the Senior Leadership Team, the DOD will be responsible for securing contributed revenues through the theatre's ongoing fundraising drives; foundation, corporate, and government grants; special events; major giving, including planned gifts; and donor stewardship programs, The DOD is also responsible for developing strategies for capital and endowment campaigns. The DOD will strengthen the culture of philanthropy at Virginia Rep in partnership with the Managing Director, Board of Trustees, senior staff, partners, and community to identify and cultivate new donors while energizing and stewarding the donor base.

Roles and Responsibilities

Development Leadership and Planning

  • Develop, coordinate, and implement a comprehensive annual fundraising plan, including appeals, special events, membership, gifts and grants, sponsorship, endowment, capital and special projects, with goals, objectives, timelines, and assigned responsibilities to meet the theatre's strategic goals.
  • Create individualized strategies for identifying, engaging, cultivating, and stewarding institutional and individual stakeholders for operational and capital giving.
  • Cultivate and maintain strong partnerships with the Board, major donors, foundations, public agencies, grantors, and corporate funders to grow significant contributed revenue opportunities.
  • Collaborate with the Managing Director, Artistic Director, development staff, and Board of Trustees to secure the necessary funding for productions, events, education programs, and outreach opportunities that are vital to community engagement and the reputation of the theatre.
  • Guide, cultivate, and increase the individual donor base, creating compelling opportunities for donors, while actively developing a pipeline for community engagement and support.
  • Maintain knowledge of best practices in nonprofit governance, state and federal laws and regulations, and significant trends in philanthropy, adapting fundraising strategies, as necessary.
  • Embrace other development leadership and planning responsibilities, as needed.

Board Engagement

  • Partner with the Managing Director and the Board Governance Committee Chair to identify and recruit new board members, educate members about their role in advancing a culture of philanthropy, cultivate and solicit them for financial support, and leverage their respective networks to expand the donor base and support for the theatre.
  • Serve as the liaison to the Development and Board Governance Committee, devising strategies that create meaningful paths for Virginia Rep's community to engage in supporting the theatre as donors, patrons, advisors, partners, sponsors, and community ambassadors.
  • Ensure efficient and timely development and distribution of agendas and reports for above committees to inform decisions that advance the mission and goals of the theatre.
  • Advise board members, both individually and collectively, on best practices in community ambassadorship and donor cultivation.
  • Embrace other board engagement responsibilities, as needed.

Team and Organizational Oversight

  • Lead and oversee the development team in creating and promoting effective cultivation and solicitation opportunities that involve the Managing Director, Artistic Director, Board of Trustees, and other staff members.
  • Partner with the Managing Director and Director of Finance to ensure sound fiscal operation of the fundraising function, including timely, accurate, and comprehensive budgeting, monitoring, forecasting, and reporting of charitable contributions and department expenses.
  • Collaborate with the Director of Marketing to ensure consistent messaging and outreach strategies as they affect all fundraising efforts.
  • Recruit, diversify, coach, inspire, and motivate a strong fundraising team that represents the diverse communities that Virginia Rep serves.
  • Create a supportive, collaborative, productive, and healthy work environment based on respect; teamwork; and the equity, diversity, and inclusion values of the theatre.
  • Ensure the strategic management and use of the database and other development communication tools, coordinating communications with existing and potential donors to ensure the highest level of donor engagement and satisfaction.
  • Ensure high-quality, individualized, and meaningful stewardship of donors, coordinating with development and theatre staff, and Board of Trustees, and personally stewarding donors, as needed.

Qualifications

A minimum of seven years of experience in progressively responsible development leadership roles is needed with a clear understanding of all functional areas, which include but are not limited to individual giving, institutional giving, ongoing appeals, foundation and government grants, planned and endowment gifts, stewardship, and board relations. Participation in a major capital, endowment, or comprehensive campaign is preferred but not required. Excellent written and interpersonal skills, a genuine enthusiasm for theatre and theatre education, and a high degree of professionalism and integrity are needed. Educational credentials supporting leadership acumen, organizational growth, arts and culture experiences, and community engagement are highly desired.

Compensation and Benefits

Virginia Rep offers an annual salary estimated to be $70,000; a generous benefits package, including paid vacation based on years of employment, a Simple IRA retirement program with company match, health insurance, and the opportunity for a hybrid work schedule. This position requires full-time residency in the Richmond area for the DOD to become fully immersed in the mission and overall objectives of the theatre. A fractional approach to the position is possible for the candidate with the right experience and skill set.

REPORTS TO: Managing Director
SUMMARY:
The Director of Marketing & Communications (DMC) works as a key member of the senior staff. Reporting to the Managing Director, the DMC creates and leads the implementation and measurement of comprehensive marketing, communications, and public relations plans designed to achieve ticket sales revenue goals and other earned revenue, and to support and enhance the brand of Virginia Repertory Theatre (VRT).

Responsibilities:

  • Directs the strategy for and oversees all functions related to marketing of VRT performances and related programs and initiatives, including subscriptions and single ticket campaigns.
  • Supports the Managing Director, Artistic Directors, and other staff in season planning with revenue projections and performance scheduling, for the purpose of optimizing ticket revenue.
  • Assists in the development of VRT's annual operating budget by forecasting ticket sales revenue. Creates annual income goals for earned revenue. Sets and oversees marketing department expense budgets for all sales campaigns, institutional marketing, and other related expenses.
  • Manages annual department budget of $300,000+.
  • Works with the Director of Sales to set pricing, including dynamic pricing and discounting as needed.
  • Supports the direction, goals and artistic vision of the leadership of VA Rep as it pertains to marketing, including the conceptualization and creation of key art for VRT productions.
  • Defines and oversees the public relations/press efforts for VRT productions as well as institutional PR as directed by the Managing Director.
  • Conceptualizes and launches new audience development initiatives to attract and maintain audience.
  • Creates effective, cost-efficient marketing/advertising plans, including digital, social media, broadcast, direct mail, print, outdoor/display for all productions, negotiating best rates/packages, overseeing and managing the implementation of the plans by staff, monitoring sales and adjusting plans as needed.
  • Determines the effectiveness of marketing campaigns based on quantitative reporting and implements changes to positively impact sales while effectively minimizing costs.
  • Oversees the Internet Services Manager in maximizing the effectiveness of the VRT website including all design, content, and functionality, suggesting and planning improvements on a regular basis to maintain brand and ease of patron experience.
  • Oversees the Marketing Manager in the strategy for VRT social media and YouTube channels including all design, content, and data mining/targeting.
  • Works with the Sales Director to analyze sales, creating reporting for senior staff and Board of Directors as needed.
  • Supervises the following staff: Marketing Manager, Internet Services Manager, Press/Public Relations coordinator (freelance/part-time), and Graphic Designer (freelance/part-time), along with vendors (digital agency, photographers, illustrators, etc) hired to do marketing department work.
  • Seeks out and manages consultants as needed for audience development and new technology initiatives.
  • Builds and maintains collaborative relationships with other arts organizations.
  • Oversees the payment of all marketing invoices.
  • Other duties as assigned.

Qualifications:

  • 10+ years' experience in performing arts marketing or related field that includes budgeting, strategic planning, implementation, and reporting
  • Familiarity with all aspects of digital and traditional advertising, social media marketing, and direct mail
  • Experience managing website for optimum patron experience, branding and functionality
  • Experience in management of $300,000+ budget
  • Tessitura experience preferred
  • Sales experience and customer service/relations experience
  • Ability to strategize, plan, prioritize and set timelines and metrics for success

Responsibilities:

  • Design marketing materials and assets as directed, including but not limited to digital and social ads, print ads, printed materials including posters, banners, direct mail and brochures
  • Circulate assets for approval within provided project management software, coordinating corrections and preparing files for printer/outlet

The Public Relations Coordinator has direct responsibility for press and public relations for Virginia Repertory Theatre (VRT), and reports to the Director of Marketing & Communications (DMC).

Responsibilities:

  • Maintain close working relationships with local, regional, and national press, including writers, editors, publishers, broadcast personalities, program directors; in collaboration with the Marketing Manager, explore and fulfill press and related promotional opportunities with outlets.
  • Vigorously pursue new press opportunities including traditional and digital media
  • Write engaging, informed, accurate, targeted press releases, announcements and other documents as needed to promote VRT and its performances; disseminate digital and printed assets including photos, videos and other content to press outlets.
  • Report on media exposure in a timely manner, providing accurate data regarding impressions delivery as needed for VRT leadership and sponsors.
  • Coordinate and escort press appearances by VRT leadership and artists; schedule and escort press (reporters/writers, cameras, video) at VRT productions and events.
  • Collaborate with Marketing Manager to book and escort/instruct freelance photographers as needed for VRT events.
  • Collaborate with DMC to develop and work within annual public relations portion of the marketing budget including vendor costs, photography/videography, press-related travel and expenses.

Institutional PR:

  • Working with the DMC, develop and pursue informed, creative, topical plan to promote VRT as an artistic leader, leader in arts education, and driver of cultural tourism, with a goal of measurable press coverage in all media; vigorously pursue opportunities on a continuing basis to promote VRT and its mission, events, artists and leadership.
  • Monitor and pursue opportunities to promote VRT in conjunction with presenting partners, institutional partners, municipalities, state tourism and other government, corporate, and foundation entities.
  • Develop and pursue plan to raise the profile of VRT leadership and creative entities, including press coverage and social media.
  • Pursue interviews and speaking engagements for VRT leadership.

Performance-specific PR:

  • Work with artistic leadership and production to develop and capture assets for effective press and promotion.

  • Manage calendar and organizational listings, coordinating with Marketing staff to pursue all partner opportunities; maintain current knowledge of and working relationship with media, municipalities, and other partners who offer event and performance listings; monitor and explore new opportunities for listings.

  • Five+ years' public relations experience, preferably in a performing arts organization

The Props Supervisor reports to the Production Manager and supervises the Props Artisan and Scenic Artist & Props Apprentice in executing all department responsibilities in researching, acquiring, or making furniture, set dressing and props across a varied season of programming in three distinct venues and our touring productions.

Responsibilities:

  • Collaborates with directors and designers to identify needs, curate historical and visual research and generate props lists for all productions. Update lists throughout the process.
  • Source or fabricate all furniture, set dressing and props from inventory or local retail sources when possible.
  • Maintain and organize the properties inventory, including furniture, dressing and hand props. Collaborate with the Production Electrician on inventory of lighting practical inventory.
  • Manage props budgets, generate price-outs and track expenses for each production.
  • Generate props department build and workflow schedule for each production.
  • Attend and Participate in Design and Production Meetings and rehearsals as necessary.
  • Communicate with stage management throughout the rehearsal process to ensure that rehearsal and performance needs are met.
  • Compile, repair and maintain any props for the touring season.
  • Supervise and mentor the Props Artisan, Props Apprentice and any other interns or volunteers throughout the season.
  • Participate with the staff in supporting special events as needed throughout the season.

Qualifications and Desired Skills:

  • Demonstrated professional theatrical experience with a background in technical theatre including 3-5 years of scenic and props technology and design implementation in a supervisory capacity.

The Electrics Apprentice reports to the Production Manager and Production Electrician as a member of the production staff to implement all lighting needs for a season of programming in four distinct venues, an educational touring arm and special events. Apprenticeships are seasonal appointments, with the possibility of renewal for a second season, and are designed to create access to entry level jobs to assist young practitioners in building skill and experience as they start their careers.

Responsibilities:

  • Assist the Production Electrician with general organization and maintenance of all lighting equipment, hang, focus, and programming for each production.
  • Assist with channel checks and perform routine maintenance during the run of productions.
  • Work as Light Board Operator for productions as assigned throughout the season.
  • Attend production and department meetings as assigned
  • Participate in the upkeep and cleanliness of work spaces and maintenance of equipment in order to maintain an efficient and safe work environment

Qualifications:
